Privacy

For your account: your name, e-mail address, profile preferences, and your IP address and browser details each time you sign in. For your clients: only what you type in. First and last name are required; e-mail, phone, city, country, gender, birth year, tags and notes are optional. That includes your session notes, the actions you agree, goals, tool runs, any fee you record and any agreement you upload.

If you have opened your booking page, a request from it keeps the name, e-mail address, phone number and message of the person who sent it, typed by them rather than by you. If you have recorded who is paying for a corporate engagement, we hold that person's name, company, e-mail and phone; they have no account here and read nothing. In a 360 feedback round we keep the raters' answers and never their identities.

To run the service, and nothing else. We do not sell your data, we do not use it for advertising, and we hand it to no advertising network. We hand it to no artificial intelligence either: there is no AI provider anywhere in this product, and nothing goes to train a model.

Client data is never shared with 3rd parties. Even Coachlane administratos cannot see your client data.

Mail: this product sends exactly three messages, all through Resend, our mail infrastructure. A password reset and an e-mail verification carry your address and nothing else. The third is your answer to a booking request, and it carries the requester's address, their name, your name, and, if you accepted, the date and time of the session. Because accepting also opens a client record for them, that message usually goes to one of your clients. No message ever carries a session note, a tool result, a fee or a phone number.

Google Calendar: only if you connected it. Once you have, the client's name and the start and end of each session you plan here are written to Google. If you signed in with Google, your profile picture is also fetched from Google on every page.

Calendar subscription: if you added your calendar address to a calendar app, that app's provider pulls your clients' first and last names and your session dates and times on a regular schedule. That is the widest transfer in the product, and it is entirely in your hands: you can regenerate the address in settings.

What we do not use matters as much: no payment processor, no advertising network, no error tracking service, no session recording tool, and no font or script loaded from anywhere but our own address.

Inside the workspace, only you can reach your client data. Coachlane administrators can see account status and total usage counts; their access to client names, your session notes, your tool runs and your agreements is closed off at the code level.

Outside the workspace the decision is yours: a calendar address you have shared, a tool link you sent a client, a feedback round link, and the sponsor summary you download can each be read by whoever holds the link or the file, with no account. We do not know who you gave them to, and from the moment you do, the transfer is yours rather than ours.

Until you delete it. Archiving a client keeps the record with you. A tool link closes after 14 days and a feedback round after 42. Sign-in sessions expire after 30 days.

Deleting your account removes all of it, including your clients, sessions, tool runs and uploaded files. Two things are then out of our hands: if you connected Google Calendar, the Coachlane calendar in your own Google account and the entries in it stay with you, and you would delete those in Google; and a message already sent stays in the recipient's mailbox and in the mail provider's records.

Only the strictly necessary ones that keep you signed in and remember your language and theme. We use no tracking or advertising cookies, which is why you never see a cookie banner. We do count how many people open which page, and we measure how long the page took to arrive, and we do both without a cookie: nothing is stored that follows you from one visit to the next, the measurements are attached to the page template rather than to the address, so a client id never enters one, and all of it stays inside the same infrastructure that hosts the app.
